Planning and Launching a Survey

  • Updated

This article provides guidance and messaging on how to effectively prepare for a survey launch with WorkTango. It incorporates best practices and outlines the power of the WorkTango platform to ensure a smooth and successful survey experience.

How To Plan A Successful Survey

  1. Define Strategic Requirements:
    • Build the survey. Clone an existing survey to maintain trending with previous survey scores. If trending is not needed, in-platform survey templates or custom survey capabilities are available to build the survey.

    • Update or reuse previous communications plan to inform employees about the survey.
  1. Establish Technical Requirements:
    • Confirm employee file is up to date or update employee file as needed.
    • Confirm IT settings like safelisting remain optimized for the delivery of survey invitations.
  1. Run a pre-launch review for the survey using  "Checklist for Survey Launch".
  2. Add recipients to the survey and schedule it for launch as shown in Custom Survey Creation, Editing, and Sending. After launch, be sure to set up reminders to boost participation!

Best Practices: Survey Design & Communications

Maintain historical trends by cloning previous surveys whenever possible. This allows for meaningful comparisons over time to see the evolution of employee sentiment. Explore the WorkTango question library to find questions related to various survey types, including Employee Engagement, Diversity & Inclusion, Onboarding, and more. The question library also highlights questions that are benchmarkable. Customize your survey with a mix of trending, custom, and library questions to address your specific needs. Conduct thorough testing and review the survey design with stakeholders to identify and address any potential issues.

Leverage existing communications or WorkTango templates as a foundation, then refine them to ensure consistent messaging.

Best Practices: Employee File & Deliverability

Leverage existing integrations: If your organization utilizes SFTP or has an HRIS connection with WorkTango's "Merge" feature, your employee file may be automatically updated. Review your current integration settings to ensure they remain active. If your organization has experienced significant changes that are not yet reflected in the employee data (e.g. merger, terminations, department name changes, restructuring), ensure the employee file is updated accordingly within the WorkTango platform.

While not common, if you previously set certain survey questions to only show to a specific group of employees (attribute-based questions), please confirm that your employee file still includes the correct attribute naming convention (i.e., department name).

Review and confirm that existing IT settings, such as safe-listing, remain active. These settings rarely need to be adjusted after initial set-up during the first survey.
