Creating & Managing Departments, Locations, and Groups (DLGs)

The Departments, Locations, and Groups pages within the User Management tab are where you can build and edit the departmental, location, and group structure of your organization within the WorkTango platform. Departments, locations, and groups can be set up hierarchically, with parent and sub-levels.

When creating hierarchies, be sure to create parent level first.

Departments, Locations, and Groups (or DLGs) can be created manually or through an import. 

Manually Creating DLGs

To manually create a Department, Location, or Group, follow the steps below.

For the purposes of brevity, these steps will cover Departments. However, the same steps apply for Locations and Groups. Simply replace any use of 'Department' with Location or Group as applicable.

  1. From the admin dashboard, click on the User Management tab and select 'Department'
  2. Click 'Add department'

  1. Determine the following:
    • Department name (Required) - The name that will show for the department in the platform.
    • Department key (Optional) - This is used as a unique identifier during imports. If left blank, one will be generated for you.
    • Department admin(s)* (Optional) - Non-admin users who have limited admin permissions for the department.
    • Department owner(s)* (Optional) - Non-admin users who are able to set department Goals. 
    • Parent department (Optional) - the new department will be a child department of the designated parent department

  1. Click 'Save department'

Import DLGs

  1. From the admin dashboard, click on the User Management tab and select 'Department'
  2. Click 'Import departments'
  3. Download the template file or create your own .CSV file

Column Name Purpose
Key Unique key that points to this department, location, or group in your HRIS system. Required.
Type One of department, location, group, private_group, hidden Required.
Parent Group Parent group. If not specified, the group will be created at the top level. Optional.
Name Parent group. If not specified, the group will be created at the top level. Optional.
Owners EmployeeId of one or more of the owners to be added to this group. Optional.
OwnersToRemove EmployeeId of one or more of the owners to be removed from this group. Optional.
Administrators EmployeeId of one or more of the administrators to be added to this group. Optional.
AdministratorsToRemove EmployeeId of one or more of the administrators to be removed from this group. Optional.
Status Allows users to activate or archive groups with an upload. Supports inputs Active and Archived. If you set this to Archived all users will be removed from this group. Optional, if left blank on import groups imported will default to active. 

Be sure the Key, Type, and Name columns are filled out or the import will not work. 

  1. Upload the file 
  2. Once the file has processed, your new DLG should show in the applicable user management page
