From the Recognition & Rewards menu on the left side of the screen, select 'System settings', then 'Point balances'.
From this page, you can adjust the redemption and giving balances, as well as the suggested recognition amount. You’ll also have the option to adjust when giving balances are refreshed i.e., manually, or automatically monthly or quarterly, and if the giving balance rolls over with the refresh period.
These settings do not apply to users already in the system; they only apply to newly created users. We recommend setting these values prior to importing users into WorkTango.
- Redemption Balance: The number of points new employees receive to redeem.
- Giving Balance: The number of points each new employee is allotted to send to others.
- Suggested Recognition Amount: When an employee starts a recognition, this is the default number of points that will populate in the 'Points per person' field. Employees can edit this amount.
- Automatically Reset Giving Balances: Determines how Giving Balances are reset - either manually by an admin, or automatically monthly or quarterly. If you have a non-standard fiscal quarter, you can select the starting month.
- Rollover Giving Balance: Allows the Giving Balance to rollover to the next points period or if they're reset.
Custom Point Rules
Custom point rules allow you to create additional frameworks for employees you'd like to receive different amount of points to send or to follow a different refresh schedule than your default.
Unless a custom point rule is assigned to an employee in WorkTango, their experience will follow the default point rule upon hire or with the next scheduled refresh.
Any changes you make to the rules won’t apply to existing employees until the next point refresh for the rule. Each custom point rule has its own refresh options. If you have frequent organizational changes impacting the number of people who report to a leader, consider choosing our monthly refresh option, especially for front-line leaders.
Point rules can include additional point amounts for direct reports (or a full reporting chain):
- When this type of point rule is applied on the manager’s hire(s) or during point refresh, the rule applies to anyone reporting to that manager at the time the rule takes effect.
- Between point refreshes, WorkTango doesn’t dynamically adjust points for day-to-day organizational changes. This means that points will not be applied automatically for any new direct reports added between refreshes.
Creating a new Point Rule
Custom point rules are set on the same page as points balances.
Select the 'On' option to enable custom point allocations. From there, you’ll be able to name your point rule, set the default amount of giving points, and any additional points a user will receive per direct report, if applicable.
You can also adjust when giving balances are refreshed (manually, or automatically monthly or quarterly), and if the giving balance rolls over with the refresh period.
Selecting 'Apply to New Users added through Import' applies this rule to any newly imported users for whom the custom point rule applies.
Apply Custom Point Rules
There are multiple ways to indicate which custom point rule applies to an employee.
If you have just a few employees to update, edit each existing employee’s record.
You can also select a custom point rule when adding a new employee to WorkTango. Additionally, you can select a number of employees on the Users tab and use a Bulk Action.
New point rules won't apply until the next scheduled refresh.
If you use SFTP for user management, you can include the point rule in your SFTP files. Additionally, you can upload rules for any or all of your employees using a .CSV import.
In the import file, there is a Custom Point Rule column. Make sure the information in this column matches the name of the point rule as you created it, and that every employee for whom the point rule applies is included (new hires or existing employees).
